If you joined the shortlist, we may hold:
We hold this to consider you for HSE roles. Employers pay on terms agreed in writing before any introduction. HSE professionals never pay.
Troy may contact you about roles. Your details go to an employer only after Troy describes a specific role and you say yes.
We may also hold employer request details, emails you sent us, checklist requests (first name and email), and records of roles we described and introductions we made after you said yes.
If you booked an intro call on this website, we may hold the name, email, phone number, and LinkedIn address you sent for that call, and the time of the call. You can cancel the call from the link in the confirmation. You can also ask us to delete those details with the same email below.
Please do not send health information, your social insurance number (SIN), your date of birth, banking details, or photos. We do not need them. If you already sent them, say so in your deletion request and we will delete them.
Email troy@safehavenhseconsulting.ca with the subject line Data Deletion Request. Tell us the name and email address on your shortlist profile or message so we can find the right records.
We will verify your identity before acting on a request. We write back to the email address on the profile or the message, and we ask you to confirm details we already hold, such as your name and that email address. We do not delete, correct, or release information when we cannot match the request to you.
We respond within 30 days. If we need more time, we will write to you and explain why. If we cannot delete everything you asked us to delete, we will tell you what we kept and why.
You may also ask to access or correct your information, or to withdraw consent. Email troy@safehavenhseconsulting.ca with the subject line Privacy request. Tell us the name and email address we would have on file.
We respond within 30 days. If we need more time, we will write to you and explain why. If we cannot do everything you asked, we will tell you what we kept and why.
When you ask us to delete your profile, we take it off the shortlist and delete your contact details, resume, and other profile details we no longer need.
We keep a profile for 24 months, then ask whether you want to stay on the shortlist. If you say yes, we keep it and ask again after another 24 months. If you say no, or you do not answer, we remove the profile. You can ask us to remove it sooner.
Profiles and files are stored in Google Forms, Google Sheets, and Google Drive. Employer requests are stored by Netlify Forms. Checklist messages go through our email service. Those providers may keep information outside Canada, including in the United States, where it may be accessed under the laws of those countries. When we delete information, we delete it from the accounts we control. A provider may keep a backup for a short time under its own schedule, then delete it.
Visit statistics from Google Analytics (GA4) are not part of your shortlist profile and are not tied to your name. Deleting your profile does not change those site statistics.
Deleting your profile does not erase every record. Some records may be kept for at least 3 years where we need them for legal or record-keeping purposes. We will tell you what we keep and why. Those records are the agreement and introduction records below. They are not your working shortlist profile, and keeping them is not permission to use your profile for a new role.
We keep agreement and introduction records for at least 3 years after the agreement or introduction. Those records show which role was described to you, whether you said yes, and what we shared with an employer after you said yes. We keep them so we can show what was agreed and which introductions were made. A saved record is not a yes for a later role. Each new role still needs its own yes from you.
If you already said yes to a role and that employer received your details, we cannot erase the employer's own copy. We will not share anything further.
After the 3 years, you can ask us to delete those records as well, unless a law requires us to keep them longer.
We do not collect personal information about you from Facebook or Instagram through this website. If you previously connected a Facebook app and want to remove that permission, you can do it in Facebook under Settings > Security and Login > Apps and Websites. If you still want written confirmation that we do not hold information from that app, email troy@safehavenhseconsulting.ca.
